The Maintenance Coordinator plays a key role in the day-to-day operations of the Maintenance Department. This individual is the point of contact for all incoming and outgoing work requests generated internally externally. The Maintenance Coordinator dispatches Maintenance Technicians in a timely and efficient manner ensuring a high level of customer service, respect, collaboration, organization, and outstanding communication.
Essential Job Duties
Maintenance Coordination
Answer all phone calls to the Maintenance Department with utmost professionalism and customer service.
Process incoming work orders via phone, email, and/or portal as applicable, communicating timely and professionally with tenants to clarify details and provide status updates as applicable.
Triage and accurately prioritize all work orders and assign tasks to Maintenance Technicians as appropriate, consulting with Maintenance Management Team as needed.
Communicate all details related to work orders with Maintenance Technicians, Contractors, Tenants, Property Managers and other parties as applicable to ensure all stakeholders are aware of key details. Share supporting documentation as necessary or applicable.
Enter and close work orders on property management/maintenance record-keeping software (RealPage One Site).
Communicate pertinent details regarding unit damages to Property Managers as necessary to ensure appropriate tenant billing.
Maintain all vendor documentation and file and/or provide to finance team as applicable.
Maintain complete and accurate maintenance files, including filing of applicable Essential Maintenance Practices (EMP) paperwork in accordance with lead safety rules.
Act as a backup to other Maintenance Coordinators in the event of absences.
Build accountability with staff in completing work timely, efficiently, and correctly.
Coding, managing, and collecting invoices and receipts to balance all credit cards.
Assist Maintenance Management Team with tasks as assigned.
Assist with all aspects of Maintenance Inventory.
Maintain confidentiality; treat members, tenants, applicants and co-workers with utmost respect and courtesy; maintain clean, friendly and professional office atmosphere; keep current on pertinent office tools, procedures, and methods.
Contributes positively to a friendly, professional and respectful office environment. Must be committed to CHT's membership-based model of community controlled and permanently affordable housing.
Qualifications
A minimum of 5 years working in a fast-paced, highly technical office environment is required. A college degree in a related field may be substituted for some of the experience requirement.
Excellent written and verbal communication, customer service, verbal de-escalation, interpersonal skills and a positive attitude are required.
A basic understanding of building repair and maintenance practices is strongly preferred.
Must demonstrate strong computer and technology skills and ability to effectively manage multiple tasks simultaneously while remaining organized.
Must be self-directed and demonstrate the ability to adapt quickly to changing circumstances.
Must demonstrate an ability to handle confidential information with utmost care.
Must demonstrate strong attention to detail and professionalism.
Multilanguage fluency is a plus. English fluency is required.
Must have a significant level of empathy, critical thinking skills and ability to use common sense to make sound decisions.
A commitment to CHT’s membership-based model of affordable housing is essential.
Ability to pass a criminal background check is required.
Must have reliable transportation.
Physical and Mental Abilities: The Maintenance Coordinator must have the physical and mental abilities to perform the essential job duties listed above. However, reasonable accommodation may be extended to help perform those duties. The job entails long periods of sitting at a desk and performing computer work. While performing the essential duties of this job the Maintenance Coordinator will have to use eyes, ears, hands and fingers, walk, stand, reach, or lift up to 25 pounds.
