Front Desk Administrative Assistant

Department: Admin
Location: Burlington, VT

Hiring Range: $20 to $24 hourly, paid biweekly.

Front Desk Administrative Assistant

The Front Desk Administrative Assistant, in conjunction with the Front Desk Lead, is responsible for reception at Champlain Housing Trust (CHT) Headquarters. They also carry out various activities in support of the Leadership Team, Property Managers and other staff in all departments.

Essential Job Duties (in conjunction with Front Desk Lead)

  • Greets tenants of CHT and members of the general public in a friendly and professional manner. Field and direct calls to appropriate staff members including CEO, CFO/HR, CAO and staff both on/off site. Provides general information about CHT’s programs and housing opportunities by phone, email or in-person.
  • Respond to tenants and general public concerns and forwards to appropriate staff members (via email or phone).
  • Checks voicemail messages twice daily and forwards if appropriate.
  • Receives rental payments in the form of checks, cash and money orders. Enters on daily and/or weekly basis above payments into OneSite software suite. Enters payments from BHA, WHA, and VSHA on a monthly basis.
  • Places work orders for Maintenance Department via email.
  • Sorts, distributes, and scans mail on daily basis.
  • Maintains, manages, and orders general office, as well as all cleaning and breakroom supplies for headquarters and offsite offices.
  • Answers Headquarters emails and replies and/or forwards to appropriate staff or team.
  • Closes office (locks doors, turns off lights, locks safe, etc.). In absence of Front Desk Lead, opens Headquarters Office (unlocks doors, checks drop box, etc.).
  • Attends meetings as requested, including--but not limited to--all staff meetings/retreats; annual staff picnic, and others.
  • Maintains confidentiality; treats members, tenants, and applicants with utmost respect and courtesy; maintains attractive, friendly, and professional office atmosphere.
  • Maintains a commitment to CHT’s membership-based model of community-controlled and permanently affordable housing.
  • Other duties and special projects as needed.

Job Specifications

Minimum two years in high-paced customer service/office environment; excellent computer and technology and public relations skills needed. Excellent telephone skills required; ability to speak multiple languages is a strong plus; Must be committed to CHT's membership based model of community controlled and permanently affordable housing.

Must have excellent interpersonal skills and be able to relate to internal and external parties professionally, representing CHT in a positive manner. The Front Desk Administrative Assistant must have the ability to communicate effectively with colleagues, clients and the community.

Physical and Mental abilities:

The Front Desk Administrative Assistant must have the physical and mental abilities to perform the essential job duties listed above. However, reasonable accommodation may be extended to help perform those duties. The job entails long periods of sitting at a desk. There may be prolonged periods of computer work. While performing the essential duties of this job the The Front Desk Administrative Assistant may have to use hands and fingers, walk, stand, reach, or lift up to 25 pounds.
